Adding learners to sessions in bulk

Summary:
This article explains how system admins can add multiple learners to training sessions at the same time using the import template.


Steps:


     1.  Sign in as a system admin.

     2.  Go to Settings and select “Topics”.

     3.  Choose the topic you want to record the training under, then create the session.

      4.  If you want to keep this type of training separate on the training matrix, create a new topic before creating the session.
      5.  Note the session ID number from the “View all sessions” page.

      6.  Return to Settings and select “Topics”.

      7.  Select “Import Sessions”.

      8.  Download the import template.

      9.  Use the information icons in the template to check how each field should be completed.

      10.  Enter the learners and session details in the template.

      11.  If you are adding past training, enter the correct completion date from the certificate. This ensures the session appears as signed off on the training matrix.

      12.  If you leave the completion date blank, learners will be added to the session but it will not show as completed.

      13.  Save the file as a CSV.

      14.  Select “Upload Sessions” and choose the CSV file you created.

      15.  After uploading, check the learner profiles or training matrix to confirm the sessions have been added correctly.


  1. Tips or Common Issues:
    • Make sure the file is saved as a CSV or it will not upload.
    • Double-check the session ID before uploading to avoid adding learners to the wrong session.
    • If the upload fails, check for formatting errors in the CSV template.
