Importing your learning plan or training matrix

How to bulk-assign courses using the CSV import

Summary:
This article explains how to use the CSV import to add courses to your learners based on your training matrix.


Steps:
  1. Sign in to Click Learning.
  2. Go to the Activity report.
  3. Select Import CSV.
  4. Choose the bundle at the top, then download the import template.


Preparing the template:

  1. Open the template and enter your staff details in the first three columns.
  2. The email address must match the learner’s Click Learning profile exactly.



In the top two rows, enter the course information you want to assign:

• Course name
• Course ID
• An “In Month” column
• A “Refresher” column

For each course, enter:

• The target date for completion, or type O if the course is optional.
• The refresher period in months (must be 0, 3, 6, 12, 24, or 36).

Uploading the file:

Save the file as a CSV.
Return to Import CSV and select Choose file.
Browse for your file and upload it.
If an orange alert appears, read the message carefully.
Review and manually adjust any learner records that were not successfully processed.

Important notes:

    • The import process will not update a course if the learner already has that course assigned.
    • Ensure all email addresses match the learner profiles exactly to avoid errors.
    • Optional courses must be marked with the letter O in the target date field.


Tips or Common Issues:

    • If the file fails to upload, check for blank rows or incorrect column headings.
    • Course IDs must match the IDs shown in Click Learning.
    • Save the file again before uploading to ensure changes are applied.
    • You can repeat the process for additional training matrices if needed.
